- Registration Process and Payment Methods
- Registrants will be able to select the early bird rate up until midnight January 31, 2012.
- Discount Codes are assigned by the Rocky Mountain Technology Alliance (RMTA). RMTA reserves the right to cancel any registrants using unauthorized discount codes.
- Conference registrations will not be confirmed until the completed form and the correct payment is received and processed by the Registration Office.
- Registrants should obtain confirmation from the Registration Office before committing to other travel arrangements.
- RMTA cannot be responsible for your spam filters blocking your confirmation email. Please be sure your spam filters will allow mail from rmtech.org and the conference coordinator.
- Accommodation costs are not included in the conference registration fee. Attendees are responsible for making their own lodging arrangements.
- Capacity is limited to 400 attendees. Registrations will be handled on a first-come, first-served basis.
- Payment of on-site registration must be made using a credit card or a check.
- If you have registered as a student you will be required to show a student ID upon check-in. If you do not have your student ID you will be required to pay the balance of a regular registration cost before you will be allowed to attend.
- Cancellation Policy
- Conference registration can be cancelled only in writing to Rocky Mountain Technology Alliance via mail, email or fax. Contact information can be found on the Contacts Page.
- Conference registrations cancelled on or before January 31st will be entitled to a full refund. Registrations cancelled after January 31st up until February 17th will be entitled to a 50% refund. No refunds after February 17th.
- Substitutions may be made up to 48 hours before the conference. If you wish to substitute a participant, please contact the Conference Registration at the earliest opportunity. Contact information can be found on the Contacts Page.
- Every effort will be made to process refunds quickly; however, it may take up to two months after the conference to receive your refund.
- Conference program
RMTA reserves the right to postpone, cancel or alter the program of the event at short notice. In the event of a postponement all registrations will remain valid. Should the conference be cancelled, all fees paid will be reimbursed in full. In no event will the liability exceed the sum paid for the conference registration.
- Participation and Behavior for RMTA Conferences
Attendees are expected to behave professionally. Excessive use of obscene language, abusive behavior, or threatening behavior directed to any other conference attendee is not conducive to a learning environment. Attendees that behave in this manner will be requested to leave.
- Personal Information
- Please note that participant contact details will be kept in the RMTA database. Credit card information will NOT be stored in this database.
- Unless the Registration Office has received an explicit request from registrant disallowing to share his/her contact information, a list of all attendees, their affiliation institutions and e-mail addresses will be stored.
- The e-mail addresses will also be used for event information, circulate last minute details, and announcements of RMTA events.
- Internet Access at Venue
Internet service may be available in the venue's conference common areas, however this is not guaranteed. If internet access is available the following uses of internet access are not permitted:
- To violate any local, state, or federal statute;
- To vandalize, damage, or disable the property of another individual or organization;
- To access another individual's materials, information, or files without permission;
- To use scanning or hacking exploit tools on public networks; and,
- To violate copyright or otherwise use the intellectual property of another individual or organization without permission.
- You must also abide by the venue's internet terms and conditions.
- Personal Property
RMTA accepts no responsibility for loss or damage to personal property.
- Audio and Video Recordings
Presentations and events at the conference may be recorded and later made available to other participants and/or 3rd parties. Upon registration, the attendee permits the publication of any recordings made.
- Intellectual Property
Products and product names mentioned on this site are registered trademarks of their respective owners. All conference graphics and materials are owned by RMTA. Speakers grant RMTA a perpetual, worldwide license to use and publish content of their presentations.
- Volunteer Policies and Procedures
Volunteers play an integral role in RMTA Conferences. As a volunteer with RMTA, it is your responsibility to abide by and understand the policies explained below. These policies apply to all persons, whether they volunteer as members of a group or as individuals, regardless of length of time or frequency of volunteer activity.
- Volunteers are expected to report to staff at the registration desk at least 15 minutes prior to the start time for their assigned duties. Volunteers are expected to check in and to check out with staff. Volunteers who accept an assignment, attend the conference, and do not perform their assigned duties will be immediately dismissed from duties and will not receive vouchers to attend panels or other additional benefits. Volunteers who become unable to attend the conference are responsible for notifying staff as soon as possible. Volunteers who accept an assignment, fail to attend the conference and fail to notify staff that they will be unable to attend the conference will be ineligible to serve as volunteers at future RMTA events.
- The Conference is a fast-paced and fluctuating arena, so your job duties may shift throughout your volunteer period, depending on the needs of the Conference at any particular time. Your cooperation and assistance in performing such additional work is appreciated.
- Volunteers must conduct themselves in a professional manner. This means that 1) all relationships between volunteers and staff, other volunteers, and participants shall be professional, 2) Behavior, dress, and language shall be appropriate and professional. If a dress code is required, information regarding the code will be provided in advance. Volunteers that do not adhere to the dress code will not be allowed to volunteer, 3) RMTA promotes an environment free from drugs and alcohol, sexual harassment, verbal and physical abuse and violence, 4) Volunteers will follow the directions of the supervisory staff.
- RMTA retains the authority to ask volunteers to cease volunteering and leave the property if he/she violates any of the above policies. RMTA will be held harmless from all liability, personal injury, loss, or damage whatsoever from any cause which may arise from activities in and about the facilities or venue of an RMTA event.
- Sponsor and Exhibitor Contract
The application for sponsorship/exhibit space at the Wide Area Sensing and Communication Conference will become a binding contract with Rocky Mountain Technology Alliance (hereinafter referred to as RMTA) when a completed application is received by RMTA and regardless of when payment is received. This contract is based upon the terms set forth below and on the next page hereof and the rates and the rules and regulation as may be established from time to time and updated and amended all of which constitute a part of this contract.
PAYMENT TERMS: Balance Due upon contract signature.

CANCELLATION: The full contract price is due and payable and non-refundable. The Sponsor/Exhibitor agrees that this is a binding contract for reserving a sponsorship/exhibit and that sums payable hereunder shall be retained or received by RMTA as liquidated damages ("Cancellation Fee") and not as penalty.
LIABILITY: RMTA shall not be liable for failure to perform its obligations under this contract as a result of strikes, riots or acts of God. There is no other agreement or warranty between the Sponsor/Exhibitor and RMTA except as set forth in this document. The rights of RMTA under this contract shall not be deemed waived except as specifically stated in writing an designed by an authorized officer of RMTA. Any action that RMTA or Sponsor/Exhibitor may bring against the other based upon or in any way relating to this Sponsorship/ Exhibitor Contract shall be brought in a federal or state court located within the Commonwealth of Colorado Springs and RMTA and Sponsor/Exhibitor do hereby waive all questions of personal jurisdiction or venue in order to give effect of this provision.
